Project Overview

Extending an enterprise solution through connected CRM workflows

SalesOrder is an enterprise business solution supporting operational and transactional processes. Primewayz provides technology engineering services within the SalesOrder solution environment, including integration and interoperability with external business platforms.

This implementation demonstrates that capability through the integration of SalesOrder with HubSpot CRM. The objective was to connect operational customer information with CRM workflows so relevant prospect, customer and contact data could move between the two environments while preserving lifecycle and commercial context.

The documented integration scope includes customer information flowing from SalesOrder to HubSpot, prospect information flowing from HubSpot to SalesOrder, bidirectional contact synchronisation, and transaction-derived information used within the connected CRM environment.

The implementation also demonstrates the extensibility of the SalesOrder enterprise solution: its operational data and workflows can participate in a connected business technology landscape while Primewayz provides the integration engineering required to establish and manage that interoperability.

Project Goals

Connect SalesOrder and HubSpot across the customer journey

01

Synchronise Customer Information

Connect SalesOrder customer information with corresponding HubSpot company records.

02

Connect Prospect Information

Bring relevant HubSpot prospect information into SalesOrder for operational use.

03

Maintain Contact Information

Support contact synchronisation in both directions where required.

04

Recognise Prospect-to-Customer Changes

Support matching and lifecycle handling when an existing prospect subsequently becomes a customer.

05

Provide Commercial Context

Make relevant SalesOrder-derived customer and financial information available within HubSpot.

03/7

Integration Challenges

The challenge was not simply moving fields between APIs

01

Record Identity

Determine whether records held in HubSpot and SalesOrder represent the same company or contact.

02

Duplicate Prevention

Avoid creating unnecessary duplicate CRM or enterprise records during synchronisation.

03

Bidirectional Updates

Support information moving between systems without creating uncontrolled update loops.

04

Lifecycle Changes

Recognise and handle the transition from prospect to customer across system boundaries.

05

Data Ownership

Apply appropriate rules for which system controls or supplies particular information.

06

Failure Handling

Provide scheduling, retry handling, status information and logging so synchronisation failures can be identified and managed.

Integration Capabilities

Connected workflows across SalesOrder and HubSpot

Customer Synchronisation

SalesOrder → HubSpot

Customer information can be represented and updated within the connected HubSpot environment.

Prospect Synchronisation

HubSpot → SalesOrder

Relevant prospect information can flow from CRM into SalesOrder.

Contact Synchronisation

HubSpot ↔ SalesOrder

Contact information supports bidirectional synchronisation.

Identity Matching

Records can be matched using available identifiers and business rules to reduce unnecessary duplication.

Lifecycle Handling

The integration supports recognising when an existing prospect progresses to a customer and reflecting the appropriate lifecycle context.

Commercial Context

Relevant customer and transaction-derived information from the enterprise solution can be surfaced within HubSpot, including configured commercial summary fields.

Integration Reliability

Scheduling, per-record status, retry handling, error information and logging provide operational controls around synchronisation.

Outcome

What this implementation demonstrates

Connected Enterprise & CRM Data

SalesOrder and HubSpot can participate in a connected customer-data journey, demonstrating how the SalesOrder enterprise solution can interoperate with modern CRM platforms.

Lifecycle Continuity

Prospect-to-customer changes can be handled across CRM and enterprise-system boundaries using matching and lifecycle logic.

Bidirectional Integration

The implementation goes beyond a one-way data export by supporting data movement in both directions where required.

Commercial Context in CRM

Relevant SalesOrder-derived customer and financial information can be made available to CRM users.

Enterprise Solution Extensibility

The implementation demonstrates how the SalesOrder enterprise solution can be extended through integration with external business platforms while retaining controlled operational workflows.

Primewayz Integration Engineering

Identity matching, field mapping, scheduling, conflict considerations, retries, logging and validation demonstrate Primewayz’s role in engineering and operating the integration between the platforms.

Identity MatchingField MappingBidirectional SynchronisationLifecycle LogicConflict HandlingRetry & LoggingValidation

Reliable enterprise-to-CRM integration requires more than transferring fields. The integration must determine which records correspond, how information should move, how lifecycle changes should be handled, and what should happen when synchronisation cannot complete normally. These are the engineering concerns addressed by Primewayz within the SalesOrder–HubSpot integration environment.
